Export Documentation Checklist for Indian Agro Commodities: Every Document Explained

Export documentation is one of the most critical — and most confusing — aspects of international agro trade. Missing or incorrect documents can result in shipment delays, customs holds, and rejected consignments. This comprehensive checklist covers every document required for exporting agro commodities from India, explained in simple terms.

1. Commercial Invoice

The commercial invoice is the primary trade document between exporter and importer. It must include: seller and buyer full details, invoice number and date, description of goods with HS Code, quantity, unit price, total value in agreed currency (USD/EUR), Incoterms (FOB, CIF, CFR), and payment terms.

2. Bill of Lading (BL) / Airway Bill (AWB)

The Bill of Lading is issued by the shipping company and serves as: proof of contract between shipper and carrier, title document (whoever holds it owns the cargo), and receipt of goods by the carrier. For sea shipments: BL. For air shipments: AWB. Original BL is required for LC transactions.

3. Phytosanitary Certificate

Mandatory for all plant-based agro commodity exports. Issued by the Plant Quarantine Authority of India. Certifies that the goods are free from pests and diseases. Most countries require this before customs clearance of food and agricultural products.

4. Certificate of Origin (COO)

Issued by FIEO, Export Promotion Councils, or Chambers of Commerce. Certifies that goods were manufactured or produced in India. Required by many importing countries for customs duty benefits, especially under trade agreements like SAFTA, ASEAN-India FTA.

5. Packing List, Fumigation Certificate, and Other Documents

Packing List: Detailed breakdown of cargo contents, weights, and dimensions. Fumigation Certificate: Required for grains, pulses, spices. Confirms treatment against storage pests. Certificate of Analysis (COA): Lab test report confirming product quality parameters. APEDA Certificate: For APEDA-scheduled products. FSSAI Certificate: For food-grade products. Shipping Bill: Customs export document filed through ICEGATE portal.
